Your videos never leave your device
When you add captions, the video file is opened by your browser (or the Mac app), and the speech recognition model runs on your own computer or phone. We never receive your video, its audio, or its transcript. There is no server-side copy to delete because none is ever made.
What we do collect
- Usage analytics. We use Google Analytics 4 to count visits and anonymous product events, such as “a video was added”, “captions were generated”, “an MP4 was exported”, the file type and size, the video's length, and which caption style was picked. These events never include the video, its audio, its words or its file name. Google Analytics sets cookies and receives your IP address and browser details; see Google's privacy policy.
- Purchases. If you buy Pro, Paddle (our merchant of record) collects your name, email address, country, payment details and tax information to process the order. We receive from Paddle what we need to provide Pro and support you: your email, the plan you bought, and order identifiers. We never see your full card details. See Paddle's privacy policy.
- Accounts (optional). The tool works without an account. If you create one, we store your email address, an optional display name, whether you want product news, the caption styles you save, and sign-in records (when the account was created and last signed in). You can sign in with a one-time link or code sent to your email, with a password (stored only as a secure hash, never readable by us), or with Google. If you use Google, we receive your name, email address and profile picture from Google, and nothing else. Account data is stored by Supabase, our database and sign-in provider.
- Your Pro plan. If you buy Pro, we store which plan you have, its status and renewal date against your account, as reported by Paddle.
- Support email. If you email us, we keep the conversation to help you.
- Server logs. Our hosting provider, Cloudflare, processes standard request data (IP address, browser, pages requested) to deliver and protect the site.
Stored on your device, not with us
The editor saves the project you are working on (the video, its transcript and your edits) in your browser's storage, so a reload or a closed tab doesn't lose your work. It stays on your device and is never uploaded; starting a new project replaces it. The editor also keeps a few small things in your browser's local storage: your saved styles, your Pro status (so the editor opens unlocked), your sign-in session if you have an account, and some interface preferences. The speech model is cached by your browser after the first download (from Hugging Face's content network) so the tool works offline. You can clear all of this at any time from your browser settings.
How we use data, and our legal bases
We use the data above to run and improve the product (legitimate interest), to provide your account if you create one and to sell and support Pro (performance of a contract), and to meet tax and accounting obligations (legal obligation). We do not sell personal data, and we do not use it for advertising.
Who processes it
Paddle (payments, as merchant of record), Google (analytics, and sign-in if you choose “Continue with Google”), Cloudflare (hosting), Supabase (accounts and sign-in emails) and Hugging Face (delivering the speech model files). Some of them process data outside your country under their standard safeguards.
How long we keep it
Analytics data is kept under Google Analytics' retention settings. Purchase records are kept as long as tax law requires. Support emails are kept while they are useful for helping you, and deleted on request. Account data is kept until you delete your account, which removes it immediately.
Your rights
Depending on where you live (for example under the GDPR or CCPA) you can ask to access, correct, delete or export your personal data, or object to how we use it. If you have an account, you can do the most common of these yourself on your account page: edit your details, download all your data as a file, or delete your account and everything in it. For anything else, email support@karaokecaptions.com and we will reply within 30 days. You can also complain to your local data protection authority. You can block analytics with your browser's privacy settings or a content blocker; the tool works the same without it.
Children
Karaoke Captions is not directed at children under 13, and we do not knowingly collect their personal data.
Changes
We will update this page if what we collect changes. The date at the top shows the latest version.
